The Executive Assistant (EA) serves an integral role in coordinating the activities of the heads of IAB’s Centers of Excellence (COE), and in providing more limited support to the Senior Vice President of Research, Analytics, and Measurement. The person in this position ensures that the executives’ time is utilized optimally and facilitates their communication and exchange of information. The EA is a direct link to senior IAB members, leading agency executives, top marketers, and other industry executives.
In addition, the Executive Assistant is responsible for all or part of the following areas:
Manage calendars and schedules – making, confirming, and changing appointments
Extensive travel coordination (domestic and international), including making and changing reservations, maintaining travel documents, and obtaining visas
Administrative support, including e-mail correspondence, answering phones, processing expense reports, drafting letters and documents, and technical support
Manage communication, correspondence, and logistics for COE Board events and industry-wide seminars held both on-site and off-site
Support front desk and reception duties – greets and welcomes members, guests, vendors, and staff, while maintaining a professional and courteous demeanor
Other duties as assigned
Requirements and Qualifications:
Bachelors’ degree with 3-5 years of EA experience
Excellent at multitasking
Outstanding written and verbal communication skills, including note-taking
Extremely well organized and detail oriented
Team player with a positive, dynamic, and professional personality – excellent interpersonal skills and a high level of integrity/responsibility
Able to learn new tasks quickly
Event management and coordination skills
Highly proficient in Microsoft Office suite
Exposure to digital media and advertising industries preferred
